Duplicate patient record

Same patient registered twice — consolidate without losing history.

Steps

Confirm it's the same person. Same DOB + same phone + similar name = almost certainly duplicate. Different DOB on a similar name = probably different people (siblings, namesakes).

Open both records side-by-side. Each in a separate tab. Cross-reference: appointments, treatments, invoices, notes.

Pick the surviving record. The one with more complete data, longer history, paid registration fee.

Use the merge flow. See Merging duplicate patients. Owner/Admin only; type the duplicate's patient number to confirm.

Resolve conflicts. When fields differ between records, pick which to keep on the surviving record.

Verify after merge. Surviving record should now show all appointments, invoices, treatments from both originals. Duplicate is archived (visible in Archived tab).

Update the patient. If they have a portal account, it stays linked to one record only. Patient may need to re-link or re-create.

Add a tag to track. Tag merged patients with "Merged-YYYY" so you can audit later.
