Monitor, free up, and expand your clinic's document storage.
Overview
Storage caps differ by tier (Starter 1 GB, Professional 25 GB, Enterprise 100 GB). DICOM CBCT scans and HD photos eat space fast. Manage storage by deleting low-value files, archiving old ones, or buying capacity.
Prerequisites
- Owner or Admin role
- Storage usage approaching the cap (monitor this, don't wait until full)
Steps
Open Storage stats. Documents → Storage, or via Settings → Subscription → Usage.
Read the breakdown. Total used, by patient, by category, by date. The biggest consumers are usually X-rays.
Identify large or old files. Sort the docs list by size (largest first) or by date (oldest first).
Delete unnecessary files. Multi-select → Delete. Soft-delete first (recoverable for 30 days), then permanent delete (Owner only).
Archive old files instead of deleting. Archive moves files to cold storage; they're still queryable but not in active storage usage. Restoring from archive takes minutes.
Buy storage addon. Settings → Billing → Addons → Storage 10 GB. Stackable — buy multiple for more.
Upgrade tier. Cleaner long-term solution if you've outgrown Starter. Settings → Billing → Upgrade.
Check usage trend. Storage stats → Trend shows month-over-month growth — informs whether to buy capacity now or upgrade.
Expected outcome
- Storage usage stays comfortably under the cap
- Old files are archived rather than blocking new uploads
- Cap upgrades happen proactively, not reactively after a hit
Troubleshooting
