Uploading documents (full reference)
All ways to add documents to a patient or to the clinic — drag-and-drop, bulk upload, mobile capture.
Overview
Documents include consent forms, ID copies, insurance cards, external X-rays, lab results, and any PDF or image associated with a patient or the clinic. The document store integrates with the patient profile and the imaging viewer.
Prerequisites
- Any clinical or front-desk role
- Files to upload (each under 25 MB unless storage addon raised)
Steps
Decide patient-attached or clinic-level. Patient docs live on the patient profile; clinic docs (templates, policies) live in Documents → Clinic.
Single file via drag-and-drop. Open the target panel (patient profile Documents tab, or Documents → Clinic). Drop the file.
Multiple files via the bulk uploader. + Upload → Bulk. Drop a folder; all supported files inside are uploaded together.
Mobile capture. On a phone browser, Take photo opens the camera. Useful at front desk for quickly capturing IDs.
Categorise. Each file gets a category at upload — Consent, ID, Insurance, External X-ray, Lab Result, Other.
Add description. Optional but searchable later. "Pre-op X-ray from Dr. Smith, 2025".
Mark sensitive. Toggle for files needing extra access protection.
Verify upload. Each file appears as a card in the panel with file size, uploader, and timestamp.
Expected outcome
- A Document entry per file
- File stored in versioned object storage
- Counts against tenant storage quota
Troubleshooting
| Symptom | Likely cause | Fix |
|---|---|---|
| File too large | Over 25 MB | Compress or buy storage addon |
| Upload stuck | Network slow | Resume on the same panel — large uploads chunk and retry |
| Wrong category later | Edit document → change category | |
| Mobile upload fails | iOS Safari permissions | Allow camera in browser settings |
| Storage quota hit | Cap | Buy storage addon or upgrade tier |
