Reorder thresholds and alerts
Set per-item low-stock thresholds; auto-alert when reorder needed.
Overview
Running out of consumables mid-procedure is bad. Reorder thresholds catch low stock early — when an item drops below threshold, the system alerts whoever's tagged for procurement.
Prerequisites
- Owner or Admin role
inventory_managementfeature flag- Items with realistic consumption rates (look at last 90 days)
Steps
Open Inventory items. Inventory → Items.
Sort by "Days until reorder". Ascending — items at risk surface first.
Edit an item's threshold. Click row → Edit. Set Reorder threshold = how low you'll let it drop before reordering. Set Reorder quantity = standard PO size.
Pick the basis for "days until". Last 30, 60, or 90 days. The platform projects forward based on consumption rate.
Save. Threshold takes effect.
View Low-stock alerts. Inventory → Alerts. Lists items below threshold, sorted by urgency.
Configure alert recipients. Settings → Inventory → Alert recipients — who gets emailed when items drop. Default Owner.
Generate purchase orders. From alerts: Generate PO for selected items, grouped by supplier. Saves manual PO creation.
Expected outcome
- Low-stock alerts surface before items run out
- Reorder POs generated semi-automatically
- Stockouts become rare
Troubleshooting
| Symptom | Likely cause | Fix |
|---|---|---|
| Alert fired late (already out) | Threshold too low | Increase threshold; account for supplier lead time |
| Too many alerts | Threshold too high | Reduce; or filter to high-criticality items only |
| Days-until inaccurate | Consumption irregular | Increase the calculation window to 90 days |
| Auto-PO generates duplicates | Multiple alerts for same item | Cancel duplicate; system should dedupe by item |
| Email not arriving | Alert recipient settings | Verify email in Settings → Inventory → Alerts |
