Scheduling and completing recalls

Convert a due recall into a real appointment, or mark it complete/cancelled.

Overview

Recalls are intentions, not bookings. Convert them to appointments, mark them complete after the visit, or cancel if the patient declines.

Prerequisites

  • Front-desk or clinical role
  • Recalls in the queue (from rules, manual entry, or the no-show feeder)

Steps

Open Recalls. Top nav → Recalls.

Switch to Due or Overdue. Tabs filter the list.

Click a recall row. Detail panel shows patient, due date, reason, last contact attempt.

Schedule appointment from recall. Schedule opens the new-appointment form pre-filled with patient and reason. Pick time and dentist; save.

Mark complete after visit. When the appointment for this recall completes, the recall auto-flips to COMPLETED. Or manually mark complete from the recall detail.

Cancel a recall. If the patient declines or moved away. Cancel → reason. Recall removed from the active list; preserved in audit.

Snooze a recall. Snooze 30 days if the patient asked to delay. The due date moves forward.

Bulk actions. Select multiple recalls → bulk schedule (only if same patient is unrealistic — typically bulk-message instead) or bulk cancel.

Expected outcome

  • A scheduled recall has a linked appointment
  • Completed recalls are marked with the visit ID
  • Cancelled recalls have a reason and remain visible in history
